Job Description: Accountant Order taking and process: 1. Process all orders. 2. Update the vendor portals with items shipped short or out of stock. 3. Obtain freight quotes for prepaid customers when necessary. 4. Work with the warehouse team to ensure all orders are routed and shipped on time. 5. Help the logistics department with EDI invoicing. Accounts Payables: 1. Submit all invoices and contracts into the internal payment system for approval 2. General expenses: post invoices and make payments 3. Credit card payments and reconciliation (including intercompany transactions) 4. Calculate, pay, and fax GST tax payment 5. Calculate commissions based on cash received and post POs Accounts Receivables: 1. Calculate and post-sales deductions and allowances taken by the customer into the payment to invoices and credit memos 2. Check the accuracy of Sales Orders and post them in invoices accordingly 3. Check past-due AR and contact the customer regarding payment 4. Deposit checks 5. Prepare proforma invoices or sales orders per request 6. Get a shipping quote and charge the customer for the actual shipping fee incurred 7. Review costs of shipping freight every quarter Inventory Management: 1. Maintain accurate inventory records and track stock levels to prevent shortages and excesses. 2. Aging report 3. Audit weekly 4. Shipping Error Item Report Other: 1. Create and maintain organized filing systems for both physical and digital documents. 2. Ensure the office environment is well-maintained, clean, and organized. 3. Manage office supplies, equipment, and inventory, replenishing items as needed and Coordinate with vendors and service providers for facilities and equipment maintenance, repairs, and improvements. 4. Improve office policies and procedures to enhance efficiency and productivity, Oversee the onboarding process for new employees, including setting up workspaces and providing necessary resources. 5. Coordinate with IT support for technology setup and troubleshooting. 6. Collaborate with HR for employee-related matters, including attendance tracking, leave management, and maintaining employee records. Other: 7. Keep track of consignment sales and inventories 8. Help with other government-required reporting
